The John Stewart Company (JSCo) is a statewide provider of diversified housing services including affordable housing development (both new construction and acquisition/rehabilitation), multifamily property management, and financial consulting and construction management services. JSCo currently manages over 30,000 housing units through offices in San Francisco (headquarters), Sacramento, Scotts Valley, Los Angeles and San Diego. This position plays a key role in ensuring the efficiency of corporate office operations and administrative support of executive leadership and regular duties will vary as necessary to meet that goal. Corporate office operation duties include supervision of Receptionist and Administrative Assistant, all corporate office services and supplies, mail, office reception, office space, project management and other related duties. This position also provides administrative support to Regional VP and other leadership when appropriate. Administrative support duties include transcribing dictation, managing correspondence, making copies and filing, answering phone inquiries, scheduling, basic project management and other related duties. 

Responsibilities: 

Corporate Office Management 

  • Serves as main contact for building manager; 

  • Design and implement office policies 

  • Supervise office staff – Receptionist and Administrative Assistant 

  • Review and approve supply requisitions 

  • Maintain office equipment 

  • Coordinates temporary staffing needs for the corporate 

  • Interviews, hires, trains, evaluates, disciplines and terminates all supervised staff in accordance with JSCo Personnel 

  • Develops and maintains appropriate and positive working relationships with JSCo staff, partners and Manage all Corporate‐issued laptop connect cards 

  • Responsible for maintaining and updating all Company distribution lists 

  • Manages onsite storage facility contents and follows record retention procedures 

Executive Assistant 

  • Provide administrative support to the Regional VP 

  • Type/draft and mail correspondence 

  • Work with sensitive/confidential information 

  • Schedule meetings/conference calls 

  • Track and distribute Partnership audits and tax forms 

  • Credit card account maintenance for the company 

Assist with special projects as requested 

Qualifications: 

  • A minimum of 5 years of experience as Executive Assistant is needed. Previous experience in planning, scheduling and completing major projects with minimum guidance. 

  • Transcribing knowledge a must 

  • Knowledge of Microsoft Office programs such as Word, Excel, PowerPoint and outlook. 

  • Ability to work with technology and software development 

  • Must have experience in project management
